Description

We are currently recruiting for a Human Resources Specialist, Monday to Friday in the Paris office.

This job description will be reviewed periodically and is subject to change by management and/or Human Resources.

POSITION OVERVIEW

To work closely with the Director of Human Resources (International), Director of Legal Recruiting & Development (LRD) and Director of Administration in providing effective HR and LRD services to the Paris office.

JOB RESPONSIBILITIES (This list is not exhaustive and may be supplemented and changed as necessary.)

Provide support to the Director of Human Resources (International) in the full lifecycle of the staff recruitment process for the Paris office as follows:

· Conduct first stage interviews when required to and coordinate other interviews as necessary;

· Attend meetings with agencies when required to help develop business relationships and communication of roles;

· Prepare offer letters and contracts of employment;

· Conduct the Human Resources orientation meetings for new team members;

· Manage the Vero referencing and background checks process identifying any potential issues;

· Manage conflicts clearance for required positions;

· Ensure information is passed efficiently to the HR Operations team to enter the new hire in PeopleSoft;

· Manage the new joiner checklists;

· Maintain and update recruitment CV logs.

Lawyer Recruitment and Development

· Assisting with the stagiaire recruitment and onboarding and management including:
• Attend Law Fairs where appropriate, to assist the team;
• Develop relationships with appropriate organisations (e.g. HEC);
• Assist with the communication strategy for graduate recruiting;
• Liaising with partners and arranging interviews; collating feedback and tracking applicants for the internships;

· Liaising with the partners and the London LRD team in relation to lateral attorney hiring and onboarding;

· Working with the London LRD team in relation to development and training matters for the lawyers including liaising with the Paris bar.

Off-boarding

· Manage the processing of all leavers for the Paris office and complete leaver checklists;

· Work with HR Operations and Attorney Recruiting teams to ensure off-boarding system tasks are completed in a timely manner.

Employee Relations

· Work closely with the Director of Human Resources (International), Director of Legal Recruiting & Development and Director of Administration and assist them in managing any employee relation issues.

Policies and Procedures

· Build knowledge and understanding of all the Firms' HR and Legal Recruiting & Development policies and their practical application to be able to provide advice and support.

HR Administration

Responsible for ensuring accuracy and smooth running of all HR administration as follows:

· Preparation of orientation schedules;

· Manage personnel file maintenance ensuring filing is done on a regular basis;

· Provide general administrative assistance to the Human Resources (International), Director of Legal Recruiting & Development and Director of Administration;

· Prepare ad hoc letters; references, mortgage references etc.;

· Participate in ad hoc project work;

· Arrange training at the request of the Director of Human Resources (International), Director of Legal Recruiting & Development and Director of Administration.

QUALIFICATIONS

Education, Work Experience, Skills

· Minimum 5 years' experience in Human Resources ideally in a law firm or professional services environment;

· A Bachelor's degree is preferred;

· Excellent time management and organisational skills;

· Excellent writing and communications skills;

· Excellent attention to detail and follow-through skills;

· Ability to identify anything which could impact employment in the workplace e.g. changes in employment law, economic changes etc. bringing ideas to attention of Director of Human Resources (International), Director of Legal Recruiting & Development and Director of Administration to enable HR team to respond appropriately and continually evolve;

· Ability to multi-task, prioritise and maintain focus in a demanding environment;

· Ability to work with many different personalities in sometimes stressful situations, remaining calm at all times;

· Ability to solve problems on an immediate basis and work using initiative;

· Ability to maintain confidentiality;

· Ability to remain customer focused;

· Ability to demonstrate a flexible and hands-on attitude; responding effectively to rapidly changing circumstances;

· Excellent team player and strong interpersonal skills;

· To become a reliable, trusted and effective support to the Director of Human Resources (International), Director of Legal Recruiting & Development and Director of Administration and others;

· Flexibility to work additional hours when required to support the needs of the team.
